§ 336.9-519 — Numbering, Maintaining, and Indexing Records; Communicating Information Provided in Records

Plain-Language Summary

The filing office must assign each filed record a unique file number, record the date and time of filing, keep the record available for public inspection, and index it by the debtor's name (with special indexing rules for fixture filings and other real-property-related records). File numbers assigned after July 1, 2001, must include a check digit that detects single-digit or transposition errors. The office may not remove a debtor's name from the index until one year after the financing statement lapses as to all secured parties of record. Except for real-property filing offices, the office must complete these tasks no later than two business days after receiving the record.

Practical Notes
UCC filings are public records the filing office must index and keep available for inspection, and the office generally must process and index a record within two business days of receiving it. A debtor’s name stays in the index until at least one year after the financing statement lapses.
